Non-Incorporated Registration Index Description
(Partnerships, Trade Names and Trademarks)
The Arizona Secretary of State, Business Services Division (SOSAZ) maintains the database of over one hundred fifty thousand partnership, trade name and trademarks for the state of Arizona. These registrations are referred to as non-incorporated registrations and are used as certified name registrations. They are continuously updated through the process of filing Partnership, Trade name and Trademark applications (NIR) at the SOSAZ, where they are imaged and keyed into the NIR system. The NIR registrations, and soon the images of the registrations, are accessible and completely searchable to the public via the Internet at http://www.azsos.gov.
The NIR Registration Index (NIRRI) from the SOSAZ contains a complete index of all NIR registrations on file at SOSAZ. Because of the enormity of the request, only the information in the index can be readily sold to the public, not the images. The information is the same information presented in the NIR Monthly Registration Index NIRMI.
The NIR Monthly Registration Index (NIRMI) from the SOSAZ typically contains over two thousand records of NIR renewals and applications filed at the SOS in a given month. The index is published on the 15th of each month, 12 times a year. The NIRMI is comprised of the registrations for the previous month one summary file and six informational files: YYYYMMDD.CSV, NIR.TAB, NIR_COM.TAB, NIR_X_AGENT.TAB, AGENT.TAB, COR.TAB and MRK.TAB. Since NIR documents are continuously filed, SOS can only guarantee the veracity of the file on its issuance date. Requests for the data must be done in writing and must be accompanied by a check or money order.

General Information Table (NIR Table)
NIR table contains all non-incorporated registered names for the State of Arizona. Though Registration types are defined under different statutes, names must be unique and non-misleading among all Registrations at both the Arizona Secretary of State, Business Services Division and those Incorporated Names found at the Arizona Corporation Commission, Corporations Division. A common index is equally shared between the two offices and is referred to as the Names Table. Registrants are issued a Filing number upon acceptance of an application, which is referred to as the Filing Number for that unique name.
The Filing number with the Registration type (NIR_SUFFIX in the NIR Table) create a unique combination that uniquely identifies a Registration within the Names Table, namely: Trade Name, Trademark or Partnership (Limited, Limited Liability, Limited Liability Limited, Foreign Limited, Foreign Limited Liability, and Foreign Limited Liability Limited).
For these specifications, the NIR_ID has been added to uniquely identify the FILE_ID || NIR_SUFFIX key within the Secretary of State databases. The NIR_ID is not presented to the applicant, nor is it identifiable to the Registration, other than the surrogate reference to a FILE_ID || NIR_SUFFIX combination. NIR_ID is an internal surrogate identifier simply for the ease of maintaining database tables. The NIR.FILE_ID is the number "certified" by this office as a name registration for the State of Arizona.

Registration Information (NIR_COM Table)
The NIR Commission table represents the period(s) of validity for a registration. All registration types at this time are valid for continuous time spans, thus a Registration is valid from the first Received Commission to the expiration of the last RECEIVED expiration (if applicable). Trade Names expire every five years, Trademarks every ten years and Partnerships are either a yearly renewal or a non-expiring registration.
NIR_ID is the NIR_ID from the NIR table.
